Terms & Conditions

The rules and agreements that apply when you book a trip with Semliner Tours & Travel Limited

Effective date: 1 January 2025  |  Last updated: 1 January 2025

Welcome to Semliner Tours & Travel Limited ("Semliner Tours", "we", "our", or "us"). These Terms and Conditions govern your use of our website and any trip, tour, safari, or travel service you book with us.

Please read these terms carefully before making a booking. By booking with us or using our website, you confirm that you have read, understood, and agree to be bound by these terms. If you do not agree with any part of these terms, please do not book with us.

1. Definitions

  • "Company", "we", "us", "our" means Semliner Tours & Travel Limited, registered in Uganda, with its office at Bakaluba Mall, Kampala.
  • "Client", "you", "your" means any person who books or travels on a trip arranged by us.
  • "Trip", "tour", "package" means any travel arrangement, itinerary, or service booked through us.
  • "Suppliers" means third-party providers we work with, including lodges, hotels, safari operators, transport providers, airlines, and permit offices.

2. Booking and Confirmation

A booking is only confirmed when:

  1. You have submitted a booking request or confirmed an itinerary in writing (including by email or WhatsApp).
  2. We have issued a written confirmation of your trip.
  3. The required deposit has been received by us (see section 3).

Until all three steps are complete, we are not obliged to reserve any part of the trip, and prices and availability may change. Any information on our website or in emails is an invitation to book and does not constitute a confirmed reservation until we confirm in writing.

3. Payments and Pricing

Deposits

Unless otherwise agreed in writing, a non-refundable deposit is required to confirm your booking. The standard deposit is 30% of the total trip cost, though some trips — especially gorilla trekking with permit purchases — may require a higher deposit or full payment at time of booking.

Balance payment

The remaining balance is due before the trip start date as specified in your booking confirmation, typically 30 days before arrival. If the balance is not paid by the due date, we reserve the right to treat the booking as cancelled and retain the deposit.

Pricing

All prices quoted are in US dollars unless stated otherwise, and are based on the number of travellers, the accommodation category, and the itinerary confirmed at the time of booking. Prices may include park fees, permits, vehicle hire, driver-guide services, and accommodation as specified, or may exclude any of these — please check your specific quote.

Price changes

We reserve the right to adjust prices before your trip is confirmed if there are significant changes in exchange rates, government taxes, park fees, permit costs, or supplier rates. Once your trip is confirmed and deposit received, the price is generally fixed — but please note the exceptions below.

Park fees and permits

Uganda Wildlife Authority park fees, gorilla permits, chimpanzee permits, and similar government charges are set by authorities and can change without notice. If these fees increase after your booking is confirmed, we reserve the right to pass on the difference to you.

4. Cancellations and Refunds

Cancellation by you

If you cancel your trip, you must notify us in writing by email. The following cancellation charges apply from the date we receive your notice:

  • More than 60 days before departure: loss of deposit only
  • 30 to 60 days before departure: 50% of total trip cost
  • 14 to 29 days before departure: 75% of total trip cost
  • Less than 14 days before departure, or no-show: 100% of total trip cost

Please note: gorilla permits and chimpanzee permits are non-refundable once purchased by the Uganda Wildlife Authority, regardless of the cancellation period.

Cancellation by us

We reserve the right to cancel a trip in the rare event of insufficient bookings, safety concerns, or events outside our reasonable control (see section 11). If we cancel and cannot offer a suitable alternative, we will refund all monies paid to us, minus any non-recoverable third-party costs such as permits already purchased.

Refund method

Refunds are processed to the original payment method within 30 days of agreement. Bank charges and currency exchange losses are not refundable.

5. Changes to Your Trip

If you wish to change your trip after it has been confirmed (for example, changing dates, accommodation, or itinerary), we will do our best to accommodate the change, subject to availability. An amendment fee may apply, and any additional costs charged by suppliers will be passed to you.

6. Itinerary Changes

We plan every trip carefully, but safari travel in East Africa can involve unpredictable conditions. We reserve the right to make reasonable changes to your itinerary, including:

  • Changing lodges or accommodation to a similar standard
  • Altering routes or timings due to weather, road conditions, wildlife activity, or park regulations
  • Replacing a vehicle or guide where necessary

We will always aim to preserve the spirit and quality of the trip you booked. Refunds are not typically given for changes outside our control.

7. Travel Documents

You are responsible for ensuring you hold all valid travel documents, including:

  • A passport valid for at least six months beyond your travel dates
  • Any required visa or e-Visa for Uganda and any transit countries
  • Yellow fever vaccination certificates where required
  • Any other permits, approvals, or health documents required by law

We are not liable for any loss or expense resulting from missing, invalid, or incorrect travel documents.

8. Travel Insurance

Travel insurance is mandatory for all travellers. You must obtain comprehensive travel insurance covering at minimum:

  • Medical expenses and emergency evacuation
  • Personal accident
  • Trip cancellation and curtailment
  • Loss of baggage and personal belongings
  • Adventure activities where relevant (such as trekking, rafting, or game drives)

You may be asked to provide proof of insurance before departure. Travellers without adequate insurance may be refused participation without refund.

9. Health, Fitness, and Medical

Some of our trips — especially gorilla trekking, chimpanzee trekking, and hiking — involve physical activity at altitude or in humid conditions. You are responsible for ensuring you are medically fit for the trip you book. Please inform us in writing of any pre-existing medical conditions, allergies, or medications that may affect your trip.

We may require a medical certificate for certain activities. We reserve the right to decline participation in any activity if we believe it presents a risk to you or others.

10. Age Requirements and Minors

Some activities have minimum age restrictions set by authorities — for example, gorilla trekking requires participants to be at least 15 years old, and chimpanzee trekking at least 12 years old. You are responsible for ensuring all travellers meet these requirements.

Travellers under 18 must be accompanied by a parent or legal guardian, who accepts full responsibility for them during the trip.

11. Force Majeure

We are not liable for any failure or delay in performing our obligations caused by events outside our reasonable control, including (but not limited to):

  • Natural disasters, floods, earthquakes, or severe weather
  • War, civil unrest, terrorism, or political instability
  • Epidemics, pandemics, or government-imposed travel restrictions
  • Strikes, transport failures, or airline cancellations
  • Park closures or government decisions affecting access to destinations

In such events, we will work with you to rearrange your trip or provide the best possible alternative, but refunds are limited to amounts recoverable from suppliers.

12. Liability

We act as an organiser and arranger of travel services. While we take great care in selecting suppliers, we are not liable for the acts, omissions, or negligence of independent third-party suppliers such as lodges, airlines, or transport companies.

To the maximum extent permitted by law, our liability to you for any claim arising out of or relating to your trip is limited to the total amount you paid to us for that trip. We are not liable for indirect, consequential, or incidental losses.

Nothing in these terms limits any liability that cannot be limited by law.

13. Conduct and Behaviour

We ask all travellers to respect wildlife, local communities, guides, and fellow travellers. We reserve the right to remove any traveller from a trip — without refund — if their behaviour endangers themselves, others, wildlife, or the environment, or seriously disrupts the experience of other guests.

You are also responsible for any damage you cause to accommodation, vehicles, or equipment during the trip.

14. Photography and Media

We may take photographs and videos during trips for promotional use. If you prefer not to appear in our photos or videos, please tell us in advance. Images you share with us on social media or by email may be reposted on our website or social channels — please tell us if you do not want us to use them.

15. Third-Party Websites and Services

Our website may contain links to third-party sites (for example, airline booking pages or travel guides). We are not responsible for the content, privacy practices, or reliability of those sites. Linking to a third-party site does not imply endorsement.

16. Intellectual Property

All content on our website — including text, images, logos, graphics, and design — is owned by Semliner Tours & Travel Limited or used under licence, and is protected by copyright. You may not copy, reproduce, or republish any part of our website without our written permission, except for personal, non-commercial use.

17. Complaints and Disputes

If something goes wrong during your trip, please tell your guide or our office immediately so we have a chance to fix it. If a problem cannot be resolved on the spot, please email us at semlinertoursandtravel@gmail.com within 14 days of the end of your trip, with details of the issue.

We will investigate in good faith and respond within 30 days. We aim to resolve all disputes amicably. If a dispute cannot be resolved between us, it will be subject to the laws and courts of Uganda.

18. Governing Law

These Terms and Conditions are governed by the laws of the Republic of Uganda. Any legal action arising out of or relating to these terms or your trip must be brought in the courts of Uganda.

19. Changes to These Terms

We may update these Terms and Conditions from time to time to reflect changes in our business or legal requirements. The version that applies to your trip is the version in effect at the time you booked. The "Last updated" date at the top of this page will be revised when we make changes.
